When to webcast
When a Webcast Makes Sense on the Sunshine Coast
Sunshine Coast organisations often have members and staff spread from Caloundra to Noosa and out to the hinterland, and conference delegates who fly in from interstate. A webcast lets the people who can't make the drive or the flight watch live, ask questions and vote.
For councils, associations and not-for-profits, a webcast also makes meetings accessible to everyone in the region, and the recording keeps working for those who watch later.
Common reasons organisations book a webcast:
What's included
What We Can Deliver
Some events need one camera and a reliable stream. Others need a full broadcast with remote presenters, voting and a branded portal. Here's what each part of a webcast involves, so you can choose what your event needs.
| Service | What it involves |
|---|---|
| Multi-camera production | Two to four cameras with a director switching shots live, plus your slides cut into the stream so remote viewers see what the room sees. |
| Branded webcast page | A webcast page in your branding, open, password-protected or behind a registration form that captures attendee details. |
| Live Q&A and polling | Remote viewers send questions and vote. A moderator passes questions to the chair, and results can be shown on screen. |
| Remote presenters | Speakers join through Zoom or Teams and appear on the room screens and in the webcast, with clean audio for both audiences. |
| Simulcast | Stream to your webcast page and to YouTube, LinkedIn or Facebook at the same time. |
| Recording and viewer report | A full recording, edited to remove breaks if needed, plus a report on who watched and for how long. |
AGMs
AGM Webcasting on the Sunshine Coast
We webcast annual general meetings and member meetings on the Sunshine Coast for super funds, associations, clubs and companies. Members who can't attend watch live, ask questions and take part, and you keep a full record of the meeting.
- Watch live, securely. A branded webcast page that is public, password-protected or behind a registration form, so only members get in.
- Ask questions. Members send questions online and a moderator passes them to the chair, alongside questions from the room.
- Vote. Live polls for show-of-hands style votes, or we display the online voting platform your share registry or returning officer provides.
- Remote directors and auditors. Presenters can join through Zoom or Teams and appear on the room screens and in the webcast.
- Recording and viewer report. A full recording plus a report of who watched and for how long, useful for your meeting records.
Conferences & town halls
Conference & Town Hall Live Streaming on the Sunshine Coast
Conferences and town halls have two audiences at once: the people in the room and the people watching online. We produce the webcast so both get the same event.
- Multi-camera coverage. Two to four cameras with a director switching shots, plus your slides, so online viewers see what the room sees.
- Remote presenters. Speakers join through Zoom or Teams and appear on the room screens and in the stream, with clean audio both ways.
- Audience questions from the room and online. One moderated question queue for your MC or panel.
- Live Q&A and polling for town halls. Staff ask questions and vote from any office, and results can be shown on screen.
- Webcast page and social media at the same time. Stream to your branded webcast page and to YouTube, LinkedIn or Facebook simultaneously.
- Backup connectivity. A venue tech check beforehand, plus bonded mobile backup internet and a backup encoder on site.

Our process
How We Run Your Webcast
- Brief and run sheet
We go through your program, speakers, slides, video clips and audience, and agree what the webcast needs to do.
- Venue tech check
We confirm internet, power, the house sound desk and camera positions with the venue before the day, using our venue connectivity checklist.
- Webcast page and invitations
We set up your branded page and registration, ready for you to send the link to attendees.
- Set up and rehearse
The crew arrives early, tests the full signal chain and runs through transitions with your MC and AV team.
- Go live, then deliver
We produce the event live and send the recording and viewer report afterwards.
You run the event. We make sure everyone watching sees and hears it properly.
Local venues
Webcasting at Sunshine Coast Venues
We cover events at the Sunshine Coast's conference venues and resorts, including the Sunshine Coast Convention Centre at Novotel Twin Waters, The Events Centre in Caloundra, RACV Noosa Resort and the University of the Sunshine Coast at Sippy Downs, as well as resort function rooms, surf clubs and council chambers from Caloundra to Noosa.
Our crew travels up from Brisbane, about an hour and a half on the Bruce Highway. For early starts or multi-day conferences we stay overnight, so cameras are set and tested well before the first session. Some resort and hinterland venues have limited internet, which is exactly what our bonded mobile backup is for.

A Clear Plan Before Your Event
A webcast that drops out in front of your board or members is worse than no webcast at all. Before you confirm, we explain exactly what will be filmed, how viewers will join, and what happens if the venue internet fails.
Every event is recorded on site as well as streamed, and we bring our own bonded mobile backup internet and a backup encoder. If something does go wrong, the recording is safe and the stream is back within moments.
Our goal is simple: your remote audience gets the same event as the people in the room.

FAQs
Sunshine Coast Webcasting FAQs
How far ahead should we book a webcast?
Two to four weeks is ideal for conferences and AGMs, as it leaves time for a branded registration page and a rehearsal. We can often cover events booked within a week when a crew is free, so call as soon as the date is set.
Do you charge travel to the Sunshine Coast?
Travel from Brisbane, and accommodation for early starts or multi-day events, is included in your fixed quote. You see the full cost before you book.
Can you manage remote presenters and audience questions during a Sunshine Coast conference?
Yes. Remote presenters join through Zoom or Teams and appear on the room screens and in the webcast. Questions from the room and from online viewers go into one moderated queue for your MC or panel.
Can AGM attendees watch without the webcast being public?
Yes. The webcast page can be password-protected or placed behind a registration form, so only members can watch, ask questions and take part in polls.
Can remote viewers ask questions and vote in polls?
Yes. Viewers can send questions through the webcast page, and a moderator passes them to the chair or MC on stage. Live polls and voting can also be run for AGMs and member meetings.
Can you bring remote presenters in through Zoom or Teams?
Yes. Presenters joining from elsewhere appear on the room screens and in the webcast, with their audio fed through the venue sound system so the in-room audience hears them clearly.
What happens if the venue internet fails?
We test the venue connection before the day and bring our own bonded mobile backup internet and a backup encoder. The event is also recorded locally, so a full recording is always available afterwards.
Is the webcast private?
It can be. Choose a public stream, a password, or a registration page that collects attendee details. We can also stream to YouTube, LinkedIn or Facebook at the same time if you want a wider audience.
Do we get a recording and viewer report?
Yes. You receive the full recording, edited to remove breaks if needed, plus a report showing how many people watched and for how long.
